We operate the website https://www.dhanvantaricancerfoundation.org and provide cancer care support services.

2. What information we collect

We collect the following categories of information:

Patient information: Name, mobile number, address, district, Aadhaar number, cancer type and stage, treatment details, hospital name, income details, and BPL/ration card number. This is collected when you submit the patient registration or enquiry form.

Volunteer information: Name, mobile number, email address, district, profession, and availability. Collected when you submit the volunteer signup form.

Donor information: Name, contact details, and donation amount. Collected when you contact us about donations.

Technical information: When you visit our website, we may collect your IP address, browser type, and pages visited for security and analytics purposes. We do not use tracking cookies or third-party advertising.

3. How we use your information

We use your information only for the following purposes:

— To connect you with appropriate cancer care services, financial aid schemes, and medical referrals.
— To contact you about your enquiry, application, or volunteer registration.
— To process financial aid applications and disburse funds.
— To send you appointment reminders and follow-up messages via phone or WhatsApp.
— To compile anonymised statistics about our reach and impact for reporting to donors and the government.
— To comply with legal obligations under Indian law.

We do not use your information for marketing, advertising, or any commercial purpose.

4. Who we share your information with

We share your information only where necessary:

Partner hospitals: When we refer you to an empanelled hospital, we share your name, contact details, and medical information relevant to the referral.

Government schemes: To process PM-JAY, Aarogyasri, or other government scheme applications, we share required information with the relevant government authority.

Volunteer coordinators: When a volunteer is assigned to assist you, they receive your name, mobile number, and district only.

n8n notification system: Our WhatsApp notification system (hosted on a private VPS) receives your name, mobile, and cancer type to send an alert to our duty officer when you register. This data is not stored beyond the notification.

We never sell, rent, or share your personal information with commercial third parties, data brokers, or advertisers.

5. Data storage and security

Your information is stored in a MySQL database on a Hostinger VPS server located in India. We implement the following security measures:

— Password-protected database access with role-based permissions.
— Encrypted HTTPS connections (SSL/TLS) for all data transmitted to and from our website.
— Documents you upload (Aadhaar, diagnosis certificates) are stored outside the public web root and cannot be accessed directly via a URL.
— Staff accounts use bcrypt-hashed passwords.
— All form submissions include CSRF token protection.
— Access logs are reviewed regularly for suspicious activity.

We retain your personal information for as long as you are receiving services from us, and for up to 7 years thereafter as required by Indian financial record-keeping regulations.

6. Your rights

Under applicable Indian law, including the Digital Personal Data Protection Act 2023 (DPDPA), you have the following rights:

Right to access: You may request a copy of the personal information we hold about you.

Right to correction: You may ask us to correct any inaccurate information we hold about you.

Right to erasure: You may ask us to delete your personal information, subject to our legal obligations to retain certain records.

Right to withdraw consent: Where we process your data based on consent, you may withdraw that consent at any time.

7. Cookies

Our website uses only a single session cookie to maintain your login state if you are a staff member. This cookie is deleted when you close your browser or sign out.

We do not use advertising cookies, tracking pixels, or third-party analytics tools. We do not embed social media buttons or widgets that track your browsing.

8. Children's privacy

We may collect information about minor patients (under 18 years) when they are being registered for cancer care services. In all such cases, information is collected from and with the consent of a parent or legal guardian. We apply the same protections to children's data as to adult data, and children's data is not used for any purpose other than providing direct care services.

9. Changes to this policy

We may update this privacy policy from time to time. When we do, we will update the 'Last updated' date at the top of this page. For significant changes, we will notify active patients and volunteers via phone or WhatsApp. Continued use of our services after a change constitutes acceptance of the updated policy.
